What limits come with hosting email?

Hosting email is sold as part of a website plan, so its limits are set by the host rather than by a mail specialist. None of them matter much for a small team sending everyday mail, but each can bite at the wrong moment. Before you buy, check four things:

  • Mailbox count: how many addresses are included, and whether extra ones cost more each month.
  • Storage: how much each mailbox can hold, and whether it shares space with your website's files.
  • Sending limits: many hosts cap messages per hour or per day to stop spam. Fine for normal mail, not for newsletters, which belong in a proper sending service.
  • Protocols: IMAP keeps phone, tablet and laptop in step. Check it's included and that webmail is usable when you're away from your own devices.

Keeping hosting email out of spam folders

The biggest difference between good and poor hosting email is whether your messages arrive. Three DNS records do most of the work. SPF lists the servers allowed to send for your domain. DKIM signs each message so it can't be altered on the way. DMARC tells receiving servers what to do when a message fails those checks, and sends you reports [4].

Large mailbox providers have been stricter with senders that lack these records, so a host that sets them up by default saves you trouble. When we move your site and email, we check all three on the new host before anything switches over, and your quote shows what's included. If you already have these records for another sender, such as a newsletter tool, we keep them in place so nothing that works today stops working.

Why has my hosting renewal gone up?

Most hosts discount your first term, then renew at their standard price. That's the price we compare.

How switching works

What does hosting with email include?

  • Addresses on your own domain, managed from the hosting control panel
  • Webmail, plus IMAP and SMTP settings for any mail app
  • Forwarders, aliases and autoresponders
  • Spam and virus filtering on incoming mail
  • Your website hosted on the same plan

What to look out for

  • The number of mailboxes on the plan, and the cost of adding more.
  • Mailbox storage, which can be small next to Microsoft 365 or Google Workspace.
  • Hourly or daily sending limits if you send quotes, invoices or newsletters in bulk.
  • Whether the host publishes SPF, DKIM and DMARC for your domain.
  • What the plan costs, email and all, once its first term ends.

Do I need hosting with email?

For many small teams, the email bundled with hosting is all they'll ever need: a few addresses, working on every phone and laptop, at no extra monthly cost per person. It's the wrong fit if you need shared calendars, large mailboxes or tight admin control over staff accounts. Then a dedicated service is worth its price per user.

It suits

  • Small teams that need a few addresses, not a whole office suite
  • Businesses happy to use their phone's mail app or webmail
  • Anyone paying a per-user subscription just to send and receive email

Frequently asked questions

Is the email that comes with web hosting any good?

For sending and receiving everyday business mail, yes. You get addresses on your own domain that work in any mail app. What you usually don't get is large storage, shared calendars or team admin tools. If those matter, look at Microsoft 365 or Google Workspace instead.

How many email accounts do I get with hosting?

It varies widely by plan, from a handful to an unlimited-sounding number with a fair-use policy behind it. Check the mailbox count, the storage each one gets, and whether storage is shared with your website's files. We show what each plan includes in your quotes.

Can I keep Microsoft 365 or Google Workspace and change my web host?

Yes. Your website and your email can live in different places. When your site moves, your domain's MX records must keep pointing at your email provider, and we check that during the move so your mail keeps arriving without a gap.

Why do emails from my hosting account go to spam?

Often because your domain is missing the records that prove mail really comes from you: SPF, DKIM and DMARC. DMARC lets you publish a policy telling receiving servers how to treat mail that fails those checks [4]. A good host sets them up for you.

What happens to my email when I move?

We move your mailboxes and messages along with your website, and set them up on the new host before we switch anything over.

Is the move really free?

Yes. When you switch to a host we recommend and buy it through our link, we cover the Serverlinx migration fee, worth up to £100. The host confirms your purchase to us automatically, so there's nothing to claim. Your quote shows exactly what's covered before you book.
